Project Brief

The clients existing systems are fragile, dated and require a lot of manual intervention. We need a modern system that can integrate our various functions through a single system and automate our manual processes. The new solution must provide the ability for us to look after both the employees and the agencies they work through.

Solution Implemented

The solution delivered primarily uses Microsoft Dynamics CRM. All information relating to the employees is stored within CRM allowing for a consolidated view of all employee activity.

CRM was then fully integrated with Sage accounts for handling inward payments, reconciliation and accounting functions for scheme members and Sage Payroll to provide PAYE payroll facilities. A server-based Windows Service was developed to orchestrate between CRM, a custom finance database, Sage Payroll and Sage Accounts. The Windows Service provided a very scalable mechanism for automating the production of invoices during peak times (several thousand invoices can be supported within one billing cycle).

The initial works were completed over a twenty-week period and replaced approximately five working years of legacy systems development. Within this time all data from the legacy applications was migrated and end users trained on the new solution.

The solution evolved over time to include distribution mechanisms for loans, integration with banks for payment automation, P11D Reporting to HMRC and the Employees, Annual Loan Statements for Scheme Members and reporting the Scheme Administrators.
